Account users are people in your organisation that have access to the Swift Digital Suite Platform. To make any changes to users in your acount, you will need to access the Administration Module > Account Users
Note: You must be an administrator to be able to do this.
To understand what each access control is, we have provided a table which defines this:
View |
View live and archived documents, as well as their previews. For the Mail house it will grant view access to available mail groups and contacts. |
Edit |
Add, edit and test a document [view access required] |
Publish | Select when and who to send documents to and ability to post documents online [view access required] |
Report | View publication reports (success rates, open rates etc.) - This also grants access to the data of the recipients. |
Adding new Users
There are two ways of adding new users to the Swift Digital Suite Platform. You can either clone an existing user or create a brand new user from scratch.
Steps to create a new user from scratch can be found below:
- Navigate to Administration > Account Users > Add User
- Enter the necessary details for your new user in the left-hand table.
- Select your user's access in the right-hand table (these only apply to users, not administrators). Simply click the toggle buttons on each specific module to enable or disable access to the user.
- Choose whether they have full access or restricted access to the modules provided by using the checkboxes underneath each module activated. This will enable or disable their ability to navigate to certain areas of the chosen module.
- Once completed, click on the
button.
- Your new user will be sent a welcome email to allow them to set up a password and finally log into the Swift Digital Suite platform.

Cloning an existing User
The purpose of cloning an existing user is to alleviate the need to re-apply access to modules another user may already have.
Note: Folder permissions for each module will NOT carry over, therefore, you will need to go through each respective module's folder permissions to provide access.
- Navigate to Administration > Account Users > Users
- Select a specific user via the checkbox to the left of their user details and click copy.
- A modal will appear, allowing you to enter in the new user's details.
Note: Doing this does not replace the target user that was selected prior to copying. - Your new user will be sent a welcome email to allow them to set up a password and finally log into the Swift Digital Suite platform.
Editing/Deleting Existing Users
Editing existing users will require you to access the Account Users Tab > Edit user.
In the dropdown, you will find all the list of users available in your account. By selecting a user, all access provided to that user will display on the right, and their personal details will appear on the left.
There are various actions you can make on this page, such as editing the user details which include:
- First Name
- Last Name
- Phone number
- Mobile number
- Fax number
- Role: User can be converted into an Administrator.
- Date Format: Date view can be specific to each user. These date formats apply to any date-related fields found in the Swift Digital Suite Platform.
- Time Format: Time view can be specific to each user. These time formats apply to any time-related fields found in the Swift Digital Suite Platform.
Additionally, you can revoke or grant access to modules located on the right. Simply click the toggle buttons on each specific module to enable or disable access to the user. Once you're happy with the changes, click to apply their new settings.
