EventsDesk: Publishing to Event Statuses

Events Statuses are used to distinguish various types of respondents to your event. Their full registration details can be found in your registrants tab. When publishing, there are many different combinations and uses for sending to specific statuses. 

You should be able to publish to your booking-agents or guests via the Communications Tab > Publish button

To publish to event statuses, you will need to select add participants in the send section, click the dropdown next to the select button, and select participants. 



Who to Send to: Events publishing options

  • Mail Group – these are the Mail Groups available in your Mail House. Select folder then group.
  • EventsDesk All Statuses – This includes everybody who has responded to your event’s invitation in some way –  registering to attend, declining, cancelling. This list does not include the people who were sent the invitation but haven’t responded. Below are the following types of people you can contact:  
    • Booking agents (Individual in charge of registering for the event. If form allows additional guests, these guests will be attached to the same Order ID)

      • All Booking-Agents: Individual who has registered themselves and their guests to the Event.
      • Paid Booking-Agents: Individual who has registered themselves and their guests to a paid Event. They must also successfully pay for the tickets they've selected.
      • Registered/Unpaid Booking-Agents: Individual who has registered themselves and their guests to a Free Event. Note: This status can also be used for Paid Events whereby a registered booking-agent has not yet paid for a ticket they registered for. 
      • WaitlistAny booking-agents who have registered their details to be placed into the waitlist.
      • Cancelled: Any registered Booking-Agents that have cancelled their registration. 

    • Guests (Note: In order to contact guests, each guest must have their own email address populated, otherwise, you will need to contact Booking-Agents instead. By default if no email address was added for individual guests, the Booking-Agent's email address will be used)

      • All Guests: Anyone who has been registered by a Booking-Agent (including themselves) as a guest. 
      • Paid Guests: Anyone who has been registered by a Booking-Agent (including themselves) as a guest, and all tickets have been fully paid.
      • Registered/Unpaid Guests: For Free Events, this would be anyone who has been registered by a Booking-Agent (including themselves) as a guest. Note: This status can also be used for Paid Events whereby a registered guest has not yet paid for a ticket they registered for. 
      • Attended GuestsAll guests that have attended the event. 
      • No show Guests: Guests that have registered by did NOT attend the event.
      • Staff: Any staff that has been added to the list of guests attending the event. 

    • Invitees (Mail house contacts that were sent Event-related emails)
      • Declined: Contacts that were sent an Event Invitation but declined it via the email they received. 
      • Non-responders: Contacts that were sent an Event related email, but did not respond to it with a registration or decline

Event documents can therefore be targeted towards certain groups of people. Here are some examples.

Suppressing Event Statuses:

You can suppress Participant statuses. For this feature, your Send To selection must be Participants from the SAME event. 

 

 

Event communications are based around an event-related ID. This means we cannot cross-check Participant with Mail House contacts. 

If you need to Send to "Participants" while suppressing a Mail Group or other..

Convert your Event Participants into a Mail Group. 

For Non-Respondent this can be done directly from your Event. For other Participant statuses - the list needs to be Exported and then Imported into a New Mail Group.
