Logging in: How to set up MFA for your user log-in

Multi Factor Authentication is being rolled out to all Swift Digital Suite Users.

If you do not already use MFA codes to log in, from the 15th of July 2025 you will encounter an MFA Set-Up prompt. This must be completed before you gain access to your Account.

Requirement:

  • A personal or work-issued Mobile device
    • Preferably with a working Camera to scan a QR code
    • This device must be accessible to you every time you log in
  • Phone Date/Time set to 'Automatic' 
    • Required for MFA codes to be in sync

 

What to do:

  1. On your mobile device, Download or Open an approved MFA application

     
    • App:  Google Auth icon.png  Google Authenticator
    • App:  Microsoft Auth icon.png  Microsoft Authenticator
       
  2. Recommended: Log-in to the app, or create a Log-in for the app

     
    • This will allow you to log-in to the app on other devices in the future, say if you lose or break your phone.
       
  3. With the MFA app open on your phone, tap to Scan a QR code.

     
    • Typically done via a button near the bottom-right corner of the App

  4. Once you Scan the QR code, you will see Swift Digital Suite added to your MFA app
     
  5. Please proceed to the next log-in page immediately. Do not close the App.
     
  6. On the next page, enter the MFA Code shown in your App for 'Swift Digital Suite'

     
    • This must be completed within 10 minutes of scanning the QR code.

    • Make sure you click 'Next' before your MFA Code times out!

  7. Once you've successfully entered the MFA code provided from your App, you will be logged in to the Suite.
     
  8. The set-up process is complete.
     
  9. Next time you log-in, you'll be prompted to open your MFA app and enter the Code you've just set-up.

     
    • Don't rush yourself! If the code is close to expiring, simply wait and use the next code, to give yourself time to enter and click 'Next'

Help! Something is not working

 

1. If you have the Swift Digital Suite added to your MFA app, but the Code just isn't working:

  • Check that your Phone Date/Time setting is 'Automatic'
    • Having a manually set Date/Time will affect the ability for apps to sync. Kindly set the Date/Time to Automatic.
  • Refresh the app and log-in page:
    1. Close and re-open the Authenticator App on your Mobile
    2. Perform a Hard Refresh on your Swift Digital login page
    3. Try to enter your code again.
  • Get a new QR Code:

    1. On your Mobile, 'swipe left' on the Swift Digital Suite code to DELETE it.
    2. Ask your Admin User to 'Reset MFA' for you via the Administration Module > Edit Users
    3. Once MFA has been 'Reset' for you, you'll get a new QR code when you log-in.

     

2. If you do not have a Swift Digital code in your MFA App, and you are not seeing the prompt to Set Up MFA:

  • If you have scanned a QR code previously: Check your Mobile Phones 'Passwords' area.
    1. Iphone: in Settings > Passwords
    2. Android: Android phones will typically use a default Authenticator App that is on your phone.
  • Get a new QR Code:
    1. On your Mobile, 'swipe left' on the Swift Digital Suite code to DELETE it.
    2. Ask your Admin User to 'Reset MFA' for you via the Administration Module > Edit Users
    3. Once MFA has been 'Reset' for you, you'll get a new QR code when you log-in.

 

3. If you do not have a Mobile Device

  • A personal or work-issued Mobile device / Smartphone is required for Multi-Factor Authentication. Please contact your internal team to discuss.

     

4. Other:

  • Contact your internal team for real time assistance. Sometime your colleagues are the best resource for in-person troubleshooting.
